Your wedding will be one of, if not the, most special days of your life. But it is also one of the biggest and most complex events you will need to organize, even if you hire a planner. Among the key decisions you and your spouse-to-be have to make is which vendors should help make that day possible.
For your wedding to remain the special day it deserves to be, here are five wedding vendor insurance clauses couples should check before signing their service contracts.
Vendor Cancellation Terms
Far from something that happens only in movies and K-dramas, cancellations occur more often than you think . While basic obligations and contract rules allow one party to terminate a contract, you should check what situations allow you to do so with little to no liability. This can include timeframes for when penalties occur and how much they are for specific situations that trigger cancellation.
You should also check when cancellation can be triggered by your vendor. It would be awkward (and very expensive) to lose a vendor just days before the wedding because of a clause you didn’t read in the fine print. Even worse, the vendor may not refund your down payment.
Refund and Payment Return Policies
Money will always be one of the biggest issues surrounding modern weddings, so a key wedding vendor insurance clause you and your partner should look closely at concerns refunds. Pay close attention to clauses explaining how much you can be refunded and for what reasons.
This will determine how much you can get back from what you paid a vendor if you need to terminate their services before the wedding. How expensive that becomes will depend on the refund rules.
Force Majeure or “Acts of God” Coverage
This is more commonly known as “Acts of God” and refers to situations beyond human control. Force Majeure includes major natural disasters, political upheavals (on your wedding day!), disease outbreaks, and wars.
Many contracts do not include Force Majeure coverage at the outset because it is hard to plan for such major events. We have an article that discusses the different Acts of God if you want to learn more.
You should check your wedding vendor insurance clauses for one anyway and ask how much it will cost to include the condition, to cover some of the more plausible ones, like one of those hours-long thunderstorms or a major political event.
Vendor Bankruptcy Protection
While this is not a common occurrence, it could happen if you planned for a wedding several months to a year ahead. If recent history, going back to the COVID pandemic, has taught us anything, events can shift in a very short time. Suddenly, one of your vendors may surprise you with a bankruptcy statement.
Aside from giving you a heads-up on what to expect if your vendor goes belly-up before your wedding, these clauses also often indicate provisions that help protect vendors from incidents that can bankrupt them, which often involve liabilities for accidents during events they cater.
Vendor Liability and Damage Coverage
No matter how much you organize your wedding, trouble could still happen because you’re bringing together a good number of people and, in most cases, you’re serving alcoholic beverages. Liability coverage concerns equipment damaged during the event and any injuries suffered.
Most vendors or venues will offer limited coverage and will state the coverage cap, as liability claims can cost them significant money. Pay attention to the situations where coverage is triggered and how much the vendor will cover (if any).
Choose Vendors and Contracts Carefully
Your wedding will always be a big life event, no matter how small you and your partner designed it to be. To ensure it stays an event you both look back on fondly, ensure the people helping make that day special are the right ones.
While the internet allows you to check vendors from the comfort of your couch, nothing beats speaking with them directly and seeing their services and products firsthand. If you have the time, events like the 46th Wedding Expo Philippines are good places to personally evaluate various vendors to find the ones that suit your needs.
